From the Beginning

Please tell us what times and days are best to reach you, as well as both home and cell numbers if you have them. We return phone calls Monday-Friday and make a good faith effort to return all calls within 24 to 36 hours of receiving them. For initial inquiries, we can contact you in the evening if you are not available by phone during the day.

We set aside time and we prepare for your appointments. We therefore require that you give notice if you need to cancel or reschedule your appointments. If you are scheduled for a regular counseling appointment, we require that you give a minimum of 24 hours notice or you will be charged the full rate of the session.

If you are scheduled for a retreat or an intensive, we require a minimum of four weeks notice if you need to cancel or reschedule your appointment. Shorter notice will result in your being charged the full fee for the intensive or retreat. Additionally, all cancellations, regardless of notice, will incur all credit card processing fees that NCCT incurs in processing payments.

Insurance and Fees

NCCT is contracted with a number of insurance panels including all Blue Cross/Blue Shield plans, MBHP, Tufts Health Plan (public and private), Tricare and United Behavioral Health. If we are not contracted with your insurance, we may still be able to bill your insurance if you have a PPO or POS (Preferred Provider Plan) that allows you out-of-network benefits. As a courtesy to all inquiring clients, NCCT runs a complimentary benefit check and discusses fees and payment options with you prior to treatment. Please note, NCCT is not contracted with Medicare. Additionally, NCCT offers a sliding-fee scale for individuals whose plans we are unable to accept.

Assessment Fee — All couples therapy clients who have private insurance or are cash pay, are charged an initial one-time assessment fee of $250 for the review of their questionnaires and the creation of their personalized relationship treatment plan. This fee is not covered by insurance.

Couples intensives and retreats are a unique service not covered by insurance, as such, clients are responsible for the full fees for all intensives and retreats.  Clients are required to pay for all such services in full within 24 hours of scheduling in order to secure the slot.

NCCT is HIPAA compliant. This means we adhere to “The Privacy Rule,” a federal regulation under the Health Insurance Portability and Accountability Act, which governs the protection of your healthcare information. More information regarding our Privacy Policy can be found in your intake paperwork, on the page titled “Notice of Privacy Practices.”

Communication and Availability

Due to the work schedule at NCCT, therapists are not often immediately available by telephone. When your therapist is unavailable, an automated voice-mail answers his/her telephone. Your therapist will make every effort to return your call on the same day you make it, with the exception of weekends and holidays. If you are difficult to reach, you will need to inform your therapist of some times when you will be available. In a life-threatening emergency, you should call 911 or go to the nearest emergency room.

Email is not a secure medium for communication and NCCT's preference is that you contact your therapist by phone. However, if you choose to contact your therapist using email, you do so with the full understanding that your therapist cannot guarantee the safety and security of that communication, despite NCCT taking all possible action to protect your privacy. Additionally, email occasionally disappears or is delayed and your therapist may never receive an email that you send. For this reason, canceling a session via email is not an appropriate method of notification. NCCT recommends that in order to give adequate 24-hour notice of such cancellations, you do so by phone.
