That’s not an exaggeration — it’s the job. Before a couple ever sits across from one of our therapists, they talk to you. You’re the one who picks up the phone or responds to the email when someone finally works up the nerve to call. You’re the one who makes the next six weeks feel possible instead of overwhelming. That’s most of what this role is. On the side, you’ll also keep our billing simple and accurate — so clients never feel confused, and our therapists never have to think about it.

We’re looking for someone who’s genuinely good with people first, and precise with systems second.

The Northampton Center for Couples Therapy is a specialized group of couples therapists who take this work seriously — not just the clinical part, but the science behind it. Our approach is rooted in state-dependent models of therapy and the research on connection and emotional regulation: how nervous systems sync up, how repair actually happens, what makes change stick. We’re a practice that’s still evolving — testing new systems, refining how we work, staying current with the field rather than coasting on what we learned in grad school.

It’s a small, sharp team. The kind of place where your fingerprints end up on how things actually get done.

WHAT YOU’LL ACTUALLY BE DOING

You’re the front door. You’ll answer the phone, return inquiries fast (within the hour when you can, always within a business day), and turn a nervous first call into a booked consultation. You’ll track every inquiry, get new clients into our systems, and ensure they have everything they need before their first session.

You stay close after the door opens. A good match with a therapist is half the work — so you’ll follow up after every first session to check the fit, manage the intake calendar so we’re never overbooked or sitting empty, and use our internal systems and PracticeVital data to spot patterns in how intake and treatment is actually going.

You keep billing simple, not complicated. We’re out-of-network only, so this isn’t insurance-panel work — it’s making sure Superbills go out accurately, invoices and receipts are clean, and clients always know exactly where they stand financially. It’s a smaller slice of the role, but a precise one.

You’re not afraid of a new system. Google Workspace, SimplePractice, PracticeVital, Canva, Slack, online invoicing — you’ll use all of it, and you’ll be the one training other staff on it. If you like learning new tools and making them work better for a team, this is where that instinct gets put to use.

WHO WE’RE LOOKING FOR

Someone with real interpersonal range — you can build rapport with a stranger in the first ninety seconds of a phone call, and you can also sit down with a spreadsheet and find the error in it. You don’t need a clinical degree (though a background in psychology is more than welcome), but you should be genuinely energized by supporting people who are doing hard relational work. Therapy-adjacent experience is a plus. Strong organizational instincts and comfort with online systems are non-negotiable.

Life experience matters here more than a resume line. You’ll be talking to adults of every age, at some of the hardest moments of their relationships — and that kind of empathy isn’t something you learn in a training. Neither is heartache. We’re looking for someone whose maturity and lived experience show up in the way they listen.

THE DETAILS

Location: Remote — with one required in-person visit to the Center per month, for team and management meetings (you’ll be part of management conversations)
Schedule: 30 hours/week minimum (Monday, Tuesday, Wednesday, Thursday, Friday — see hours below)
Pay: $40,000/year, salaried
Time off: Accrued sick time, plus 2 weeks personal time
Reports to: Director of Operations
Also includes: Periodic cross-training as backup coverage for the Director of Operations role
Includes: Ongoing training (SimplePractice billing certification, Barbara Griswold training), and the occasional special project as the practice grows. Completion of Level I Gottman Method Couples Therapy training also required (we provide).

Monday: 9:00 AM – 4:00 PM
Tuesday: 11:00 AM – 6:00 PM
Wednesday: 9:00 AM – 3:00 PM
Thursday: 11:00 AM – 5:00 PM
Friday: 9:00 AM – 1:00 PM
